10-07-2024 PRCEM Parks, Recreation, and Community Education Advisory Board Meeting Minutes October 7, 2024 The following members were in attendance: Kyle Wendling, Chad Czmowski, Mark Lansink, Sara Pollman, Margo Kaping, Josh Kamrath, Ashley Gabbert, and Liz Stearns. Also present was PRCE Director Lynn Neumann. The meeting took place at the Historic Episcopalian Church and commenced at 5:15 pm. Chad Czmowski made a motion to approve the meeting minutes dated August 5, 2024. Mark Lansink seconded the motion, and the minutes were approved. Old Business VMF Project Updates The Lighting Project at VMF is now completed. The project was very successful. Staff will start working with Sports Lighting Authority (SLA) on the Roberts Park Lighting Project for 2025. Grandstand Project has had a few hiccups along the way. Staff are working with Ebert Construction and Widseth to come up with a solution to continue the work as soon as possible. th The project was set to be completed by November 30. The project should resume next week. Library Square Fountain The City Council will be presented with a proposal for repairing the Library Square Fountain tomorrow evening (October 8th). PRCE staff will seek authorization from the city council to restore the existing fountain and ensure its safety. The proposed upgrades to the pump unit will be installed to enhance the safety and longevity of the fountain. Event Center Letter of Intent to Purchase Extension The original Letter of Intent to Purchase the Event Center between the City of Hutchinson and Hutchinson Health was set to expire on December 31, 2024. City staff and Hutchinson Health Staff met to discuss the original letter and recommended an extension to the current agreement. The City Council authorized a letter of addendum to extend the Letter of Intent to Purchase, making the extension valid until December 31, 2025. Both parties have agreed to and signed the addendum. New Business PRCE Advisory Board Member Vacancies Kyle Wendling will serve his second full term. This will be presented and approved at an upcoming city council meeting. Jeff Hoeft is no longer on the board. His position is open to applicants. Ashley Gabbert shared the exciting news that her family is moving. Her position is open to applicants. We have two vacancies that need to be filled. We will advertise on the website and social media. Applications will be brought to the next board meeting. th Bike/Walk to School Event October 9 th Walk/Bike to School Event will be held on October 9 at Park Elementary. Information was sent out to students at Park Elementary. The event was advertised on the PRCE Facebook and Instagram pages. Members of the Bike and Pedestrian Advisory Board will walk students to school on three different routes. Gaga Ball Pit at Lions West Gaga Ball Pit was installed at Lions West Park. The Lions Club will be making payments over the next couple of years. They funded the project. Gaga Ball Pit was a great addition to the park. Oddfellows Playground Replacement Oddfellows Park was identified on the Playground Replacement Plan for replacement in 2024. Staff have reviewed the fall discount playgrounds for options for a 2025 install. Lynn will send out the playground that staff have selected for purchase and installment in 2025. Historic Church Upgrades PRCE staff have been collaborating with Historic Hutchinson to secure funding for enhancements to the Historic Church. These upgrades encompass completing the flooring in the main basement area, as well as improvements to the kitchen and bathroom, including painting the ceiling and adding a countertop in the kitchen. Additionally, the project includes renovations to the bathroom and the installation of a new exterior door for better access to the basement of the building. HHF Grant Free Open Swim at Carlson Pool Hutchinson Health Foundation has committed to sponsoring free open swim nights during the winter months at Carlson Pool. They had funded this initiative last year as well. The flyer will be sent out to the board once we receive it. Community Education Onboarding Updates The Community Education Coordinator has been working with District HR staff to update the onboarding process for community education instructors and staff. This new process also includes background checking all instructors and staff. Board Member Items Ashley Gabbert mentioned the need for better lighting at the Sand Volleyball Courts at Roberts Park. Additionally, she suggested having a water source for participants to clean off after playing sand volleyball. Margo Kaping mentioned the pickleball pass that was discussed at an earlier advisory board meeting. PRCE staff will send out the pass details and the dates for available play at the Recreation Center for Open Pickleball. Pickleball Pass is $200 per person for the Fall 2024-Spring 2025 indoor season. A motion to adjourn was made by Mark Lansink, and Josh Kamrath seconded the motion. The meeting adjourned at 5:53 pm.
